Quick Steps
iPhone organizes photos using Albums (containers for photos) and Folders (containers for albums). To organize: open Photos > Albums > tap the plus icon > New Folder for top-level groups (e.g., Family, Work, Travel) and New Album for individual collections inside each folder. Drag photos to albums by long-pressing them in the main library and choosing Add to Album. The same photo can live in multiple albums without duplicating storage.
Albums vs Folders: The Difference
iOS Photos uses two organization concepts that confuse new users:
- Album: A collection of photos. The actual photos are still in the main library; the album is just a saved view.
- Folder: A container that holds multiple albums. Folders cannot directly hold photos, only albums.
So your structure looks like: Folder > Album > Photos. For example: Family folder > 2026 Holidays album > the actual photos.
Step 1: Plan Your Structure
Before creating anything, decide how you want to organize. Common approaches:
By Year
Top folders for each year: 2024, 2025, 2026. Inside each year, albums for events: Vacation, Birthday, Christmas.
By Topic
Top folders for life areas: Family, Work, Travel, Pets. Inside each, albums by event or person.
By Person
Top folder for People. Inside, albums for each family member.
Pick whichever feels natural. You can change later, but starting with a plan prevents endless reorganization.
Step 2: Create a Folder
- Open the Photos app
- Tap Albums at the bottom
- Tap the plus icon in the top left
- Choose New Folder
- Name it (e.g., 2026)
- Tap Save
Step 3: Create Albums Inside the Folder
- Open the new folder
- Tap the plus icon
- Choose New Album
- Name it (e.g., Summer Vacation)
- Select photos to add
- Tap Done
Step 4: Add Photos to Existing Albums
You have two ways to add photos to an existing album:
From the Main Library
- Open Photos and find the photo you want
- Tap Select if needed and pick photos
- Tap the share button
- Scroll down and tap Add to Album
- Choose your album
From Inside the Album
- Open the album
- Tap the plus icon
- Pick photos from the library
- Tap Done
Step 5: Move Albums Between Folders
To reorganize, long press an album in the Albums view. Tap Move Album. Select the destination folder. The album moves with all its photos intact.
Smart Albums: Auto-Organized Collections
iOS automatically creates Smart Albums you cannot delete: Recents, Favorites, Selfies, Live Photos, Bursts, Slo-mo, Screenshots, Screen Recordings. These update automatically as you take photos and serve as a quick way to find specific types.
Multi-Album Photos
The same photo can be in many albums without duplicating storage. iOS only stores the photo once and references it from every album it belongs to. Adding a photo to 10 albums uses no extra space.
Shared Albums
If you use iCloud Photos, you can create Shared Albums that multiple people can add to. New Shared Album in the same Albums tab. Invite people via email or message. Everyone can add and view photos. Great for family events and group trips.
Cleaning Up First
Before organizing a huge library, clean it first. Organizing 50,000 photos is overwhelming. Use Swype Photo Cleaner to delete blurry shots and duplicates. Then organize the keepers, which are typically half as many.
Maintenance Routine
Add new photos to albums weekly or monthly. The longer you wait, the harder it gets. A 5-minute weekly habit keeps your library organized forever.
