iPhone Data Migration Checklist

Everything to do before, during, and after moving to a new iPhone in 2026. A clear checklist that prevents lost photos, missing two-factor codes, and forgotten passwords.

The 60-Second Migration Plan

Before migrating to a new iPhone, do these five things in order: (1) back up your old iPhone with iCloud or to a Mac, (2) clean up photos and offload unused apps to shrink the transfer, (3) export two-factor authentication codes from Google Authenticator or any non-iCloud auth app, (4) sign out of WhatsApp and other apps that need a manual handoff, and (5) charge both phones and use Quick Start direct transfer. The whole process takes 30 to 90 minutes for most people, plus another 30 minutes of post-setup tweaks.

Before You Start: Pre-Migration Cleanup

The biggest mistake people make is migrating without cleaning up first. You end up carrying years of blurry screenshots, duplicate photos, and apps you never opened into a brand new device. Worse, the transfer takes longer because every gigabyte still has to move.

Spend an hour the day before with these steps:

  • Photos: Use Swype Photo Cleaner or the native Photos app to delete blurs, screenshots, duplicates, and low-quality bursts. Most users free 10 to 30 GB.
  • Apps: Open Settings, General, iPhone Storage. Delete or offload anything not used in 90 days.
  • Recently Deleted: Empty both Photos and Files Recently Deleted folders.
  • Messages: Review large attachments and clear what you do not need.
  • Browser caches: Settings, Safari, Clear History and Website Data.

The Backup Step (Do Not Skip)

Even though Quick Start does direct transfer, always make a backup as insurance. iCloud Backup is the easiest. Settings, your name, iCloud, iCloud Backup, Back Up Now. Wait until it finishes and confirm the date/time updates.

If you want a local backup, use a Mac with Finder. Plug in the phone, choose Back up all the data on your iPhone to this Mac, and click Encrypt local backup so it includes saved passwords and Health data. The encrypted backup is critical for keeping your sleep history, workouts, and HomeKit settings.

Tip: Encrypted backups also include your Wi-Fi passwords and Apple Wallet items. Without encryption, you will have to re-add many credentials manually after restore.

Things That Do Not Auto-Migrate

Apple's restore process moves most things, but there are several traps that need manual attention:

  • Two-factor authentication apps (Google Authenticator, Authy, Microsoft Authenticator) need manual transfer. Export your codes from the old phone first.
  • WhatsApp needs to be set up to back up to iCloud, then re-installed on the new phone where it restores from that backup.
  • Signal requires you to set up transfer between devices in advance, otherwise message history is lost.
  • Banking apps often require re-verification with biometrics or a temporary code.
  • VPN configurations usually have to be re-imported.
  • Health data only transfers if your iCloud Backup is encrypted.

Take screenshots of any unusual app login screens before migrating so you have visual cues for re-entry.

The Day-Of: Quick Start vs iCloud Restore

Quick Start direct transfer is the fastest and most reliable method when both phones are nearby. Power on the new phone, place it next to the old one, and follow the on-screen Apple ID flow. Choose Transfer from iPhone instead of Download from iCloud. Plug both phones in (transfer can take 30 to 90 minutes) and let them work.

iCloud Restore is the fallback when phones are not in the same place. It takes longer (4 to 12 hours), and apps re-download in the background. The advantage is that you can be hundreds of miles from the old device.

After Migration: The First Hour

Once setup completes, do this checklist before putting the new phone to work:

  • Confirm Photos has finished syncing (the status appears at the bottom of the All Photos view).
  • Open every banking and finance app to re-authenticate.
  • Check that two-factor authentication apps work for at least one critical login.
  • Re-pair AirPods, Apple Watch, and any HomeKit devices.
  • Verify cellular: Settings, Cellular, ensure your line shows Activated.
  • Open Safari and confirm bookmarks transferred.

Wait 24 hours before erasing the old phone or trading it in. iCloud may still need to sync, and you may discover small things you forgot to migrate.

Frequently Asked Questions

What is the best way to migrate data to a new iPhone?

Quick Start direct device-to-device transfer is the fastest and most reliable method. Place both phones near each other and choose Transfer from iPhone during setup.

How long does iPhone data migration take?

Quick Start typically takes 30 to 90 minutes for a 256 GB phone. iCloud restore can take 4 to 12 hours depending on library size and internet speed.

Should I clean up my iPhone before migrating?

Yes. Cleaning up cuts transfer time significantly and starts your new phone fresh. Two hours of cleanup can save 30 to 60 minutes of transfer time.
